Templates: recurring classes

For studios

A template is a class that comes back every week on the same day and time, for example "every Tuesday at 09:00 Mat Pilates in the Studio with Liessanne". With templates you set up your weekly schedule once and roll it out period by period. Only the owner and a manager can create and roll out templates; everyone can view the list.

How it works

A template plans nothing by itself. You create the template and then state for which period Bookasport should generate classes from it. That is called rolling out (uitrollen). The classes that result then stand on their own in the schedule: you can cancel them individually, and changes to the template no longer affect classes that already exist.

Creating a template

  1. Choose Sjablonen (templates) in the menu and click Nieuw sjabloon (new template). A panel Sjabloon toevoegen (add template) opens.
  2. Choose the Activiteit (class type), the Zaal (room) and optionally the Docent (instructor). Without an instructor it reads "Nog niet toegewezen" (not yet assigned).
  3. Choose the Weekdag (weekday) and the Begintijd (start time). The duration follows from the class type.
  4. Fill in Plekken via Bookasport (places via Bookasport, default 4) and optionally Plekken extern (bsport) (external places, default 0, information only; see Schedule and classes).
  5. Fill in Geldig vanaf (valid from) and optionally Geldig tot en met (optioneel) (valid through). Outside this period the template never generates classes, even if you roll out a wider range.
  6. Click Sjabloon opslaan (save template).

Each template is for one weekday. If you want the same class on Tuesday and Thursday, create two templates. Classes every other week, or any frequency other than weekly, are not possible.

The list is sorted by weekday and time. Per template you see the class type, the room and instructor, and a line such as "4 plekken · geldig vanaf 1 september 2026 t/m 31 december 2026" (4 places, valid from 1 September 2026 through 31 December 2026).

Rolling out: generating classes from a template

Next to each active template are the fields Van (from) and Tot en met (through) with the button Genereer sessies (generate sessions).

  1. Enter the period for which you want classes, for example the next four weeks.
  2. Click Genereer sessies. Bookasport creates a class for every weekday of the template in that period, with the room, instructor and places of the template.
  3. You see a confirmation: 12 sessies aangemaakt (12 sessions created).

Good to know:

  • Rolling out twice does no harm. If a class of this template already exists at a given time, Bookasport skips it. Roll out the same period again and it reads 0 sessies aangemaakt. That is not an error.
  • You also see 0 sessies aangemaakt when the period falls outside the validity of the template.
  • A cancelled class does not come back by rolling out again.
  • Bookasport does not roll out automatically. Put it in your calendar to generate the next period each month, for instance. How far ahead you may go is not limited, but bear in mind that members can only book once the booking window of the class type opens (by default 7 days ahead).
  • You roll out per template, not all templates at once.
  • A class that crosses a daylight saving change stays on the set clock time.

If you see Genereren mislukt. Probeer het opnieuw. (generating failed, try again), check that Tot en met is not before Van.

Changing or stopping a template

A template cannot be edited. If the time, room or instructor changes, proceed like this:

  1. Click Deactiveren (deactivate) on the old template. The template turns grey with the label Inactief (inactive) and generates no more classes. There is no confirmation step and reactivating is not possible.
  2. Create a new template with the right details and roll it out.
  3. Classes already generated from the old template stay in the schedule. Cancel them per class if they are no longer correct, otherwise there are two classes on that day.

For a holiday or a week without classes there is no pause button. Simply do not roll out that period, or cancel the already generated classes one by one (see Schedule and classes).

Deleting a template is not possible; deactivating is the intended way.
