Helpdesk
Answers for Bookasport studios and members.
- Signing in, security and rolesThis chapter is for everyone who works in the Bookasport back office: the owner, a manager, the front desk and the instructors. It describes how you sign in, how the owner's authenticator app works, what to do when you have lost your password, and what each role can and cannot do. The back office is in Dutch; the Dutch labels are quoted with their meaning.
- Schedule and classesThe schedule is the heart of the back office. Here you see per week which classes there are and how full they are, and you open the attendance list per class. This chapter describes the schedule screen, planning a single class, the attendance list with attendance marking and booking in, and cancelling a class. Recurring classes are planned with templates; those are in the next chapter.
- Templates: recurring classesA template is a class that comes back every week on the same day and time, for example "every Tuesday at 09:00 Mat Pilates in the Studio with Liessanne". With templates you set up your weekly schedule once and roll it out period by period. Only the owner and a manager can create and roll out templates; everyone can view the list.
- Members and their passesUnder Leden (members) is everyone who belongs to your studio: members who signed up themselves and members you added. Per member you see the passes and memberships, issue a class pass and suspend or reactivate a pass. The owner, a manager and the front desk can do everything here; instructors can only look.
- Trial classesA new member can request a trial class on the member site. You review the request under Proeflessen (trial classes). That is how you prevent someone taking five free classes with five e-mail addresses, at the cost of one click per request. The owner, a manager and the front desk can review; instructors only see the list.
- Products: class passes, single classes, memberships and the trial classA product is what a member buys or receives in order to book: a single class, a class pass, an unlimited period pass, a membership, or the trial class. This chapter describes how you create products, what each field does and what you can still change afterwards. Only the owner and a manager can manage products; the front desk and instructors only see the list.
- Managing membershipsA membership is a recurring membership with unlimited booking, which Bookasport charges automatically per period through a mandate at Mollie. The member starts it and cancels it themselves. This chapter describes what the studio sees and does: the overview, the direct debit and what happens when it fails, pausing, price changes, cancelling on a member's behalf and payments outside Mollie. What the member sees is in Your membership in the members' part.
- Payments and the Mollie connectionMembers pay in Bookasport through Mollie, with the studio's own Mollie account. The money goes straight from the member to your bank account; Bookasport never holds money and is not a payment provider. This chapter describes connecting Mollie, the payments overview and what to do when a payment hangs.
- SettingsBookasport has few settings, and deliberately no separate settings menu. What you can set yourself is in three places: Aanwezigheid (attendance), Embed and the screen behind Mollie-koppeling (with the notification address and the reply address). On a phone you find them all under Meer. Everything not listed here is set up for you by Bookasport.
- Your account: signing up, logging in and your profileThis chapter is for members of a studio that uses Bookasport, and for the studio helping them. Your studio has its own address: https:// studio.bookasport.nl. That is where you create an account, log in and manage your details.
- Schedule, booking, cancelling and the waitlistThe schedule is your studio's start page. Here you see which classes there are, book a class, cancel, and put yourself on the waitlist when a class is full.
- Requesting a trial classIf you have not been to the studio before, you can request a trial class. The studio reviews your request; after approval you book a class with the trial class just like with any other pass.
- Buying and your balanceUnder Buy you buy a class pass or single class, and start a membership. Under My account you see which passes you have and how many classes are left on them. Payment goes through Mollie, directly to the studio.
- Your membershipIf your studio offers a membership, you can book unlimited classes for a fixed amount per period. You start it yourself, payment is automatic after that, and you cancel it yourself on your own page My membership. The e-mails call it a "subscription"; it is the same thing.
Appendices
- What Bookasport isBookasport is booking software for boutique sports studios: reformer pilates, yoga, small group training, barre. The studio puts its schedule in, members book themselves in, buy their own class pass or membership and cancel it themselves. The members' money goes straight to the studio through the studio's own Mollie account; Bookasport never sits in between.
- Frequently asked questionsShort answers, each pointing to the chapter where it is covered in full.
- Every e-mail Bookasport sendsBookasport communicates by e-mail only. There are no text messages, no push notifications and no message centre in the app. This overview helps with questions like "why did I get this e-mail" and "when does my confirmation arrive".
- Messages on screen and what to do about themBookasport shows messages in plain language, without error codes. This overview helps support place a message quickly. Member-site messages are quoted in English; back-office messages are Dutch and quoted as such, with their meaning. Two messages can appear anywhere: Message Meaning This studio is being updated. Please try again in a minute. (back office: De studio wordt bijgewerkt. Probeer het over een minuut opnieuw.) or the screen Even geduld Bookasport is rolling out a new version. Wait a moment and try again; nothing is lost. Action failed. Please try again. (back office: Handeling mislukt. Probeer het opnieuw.) An unexpected error. Try once more; if it keeps failing, involve Bookasport. In the back office a screen Er is iets misgegaan with a Foutcode may also appear; pass that code on.
