Products: class passes, single classes, memberships and the trial class

For studios

A product is what a member buys or receives in order to book: a single class, a class pass, an unlimited period pass, a membership, or the trial class. This chapter describes how you create products, what each field does and what you can still change afterwards. Only the owner and a manager can manage products; the front desk and instructors only see the list.

Which kinds there are

There is one form for all products. Which kind it becomes follows from what you fill in:

You want Fill in What the card says
A single class Number of classes 1, optionally a validity in days "1 rit · 30 dagen geldig"
A class pass (punch card) Number of classes for example 10, validity for example 180 days "10 ritten · 180 dagen geldig"
Unlimited booking for a fixed period, paid once Number of classes empty, validity for example 30 days "onbeperkt · 30 dagen geldig"
A membership with automatic direct debit Tick Dit is een abonnement and choose the period "Abonnement · elke maand" or "elke 4 weken"
The trial class Tick Dit is de proefles; price 0 is allowed label "proefles"

A class pass works with credits: every booking costs one credit, and cancelling in time returns it. "Unlimited" means nothing is deducted. The validity starts on the day the member buys or receives the pass.

Creating a product

  1. Choose Producten (products) in the menu and click Product toevoegen (add product). A panel Nieuw product (new product) opens.
  2. Fill in the fields:
    • Naam (name): the name members see, for example "10-rittenkaart".
    • Omschrijving (optioneel) (description): shown in the shop for memberships only, not for class passes.
    • Aantal ritten — leeg is onbeperkt (number of classes; empty is unlimited).
    • Geldigheid in dagen — leeg is onbeperkt (validity in days; empty is unlimited).
    • Prijs (incl. btw) (price including VAT): what the member pays. Comma or point both work.
    • Btw-tarief in procenten (VAT rate in percent): default 9. Bookasport works the VAT back out of the amount and shows it on the card, for example "waarvan € 10,32 btw (9%)" at € 125. Whether your classes fall under the low or the high rate is a question for your accountant.
    • Dit is de proefles (this is the trial class): only one can be active, and members request it instead of buying it.
    • Dit is een abonnement (this is a membership): unlimited booking, recurring, charged per period. Then fill in Periode: aantal (period: count) and Periode: eenheid (period: unit, weken or maanden), and leave classes and validity empty.
  3. Click Toevoegen (add).

Messages you may see:

  • Een product zonder prijs staat niet in de winkel. Vul een prijs in, of vink Proefles aan. (a product without a price is not in the shop; enter a price or tick trial class). Only the trial class may be free. A normal product with price 0 is not possible.
  • Een abonnement heeft geen aantal ritten of geldigheid in dagen; de periode bepaalt dat (a membership has no number of classes or validity in days; the period determines that).
  • Er is al een actieve proefles. Zet die eerst op inactief. (there is already an active trial class; deactivate it first).
  • Aantal ritten moet leeg zijn of een positief geheel getal and Geldigheid in dagen moet leeg zijn of een positief geheel getal (must be empty or a positive whole number).

What members see in the shop

The shop on the member site shows only products that are active, have a price and are not the trial class. Memberships are at the top under Memberships, below them Class passes and single classes, each in ascending order of price. Prices include VAT: what you enter is what the member pays.

Without a connected Mollie account members cannot buy anything; see Payments and the Mollie connection.

Changing a product

After creating a product you can change it in only two ways: the price and the status active or inactive. Name, description, number of classes, validity, VAT rate and period are fixed. To change any of those, deactivate the product and create a new one.

Changing the price

Enter Nieuwe prijs (incl. btw) (new price including VAT) on the product and click Prijs wijzigen (change price). You see Prijs gewijzigd naar € X.

A price change never touches what has already been paid: every payment records the amount, VAT and product name at the moment of purchase. Passes members already have do not change.

On a membership product with running memberships an extra checkbox appears: Ook voor de N lopende abonnementen, vanaf hun eerstvolgende periode die op of na <datum> begint (de leden krijgen nu een e-mail) (also for the N running memberships, from their next period starting on or after <date>; the members get an e-mail now). The date is fourteen days ahead, because a price change must legally be announced in advance.

  • Without the checkbox, the new price applies only to members who start the membership from now on. Running memberships keep their own price.
  • With the checkbox, every running membership gets an announcement by e-mail and the new price takes effect at the first period starting on or after that date. Members can cancel until that date. A membership that already has an announced change, or already pays this price, is skipped; the confirmation says so.

You can also change the price per membership, or withdraw a change; see Managing memberships.

Deactivating and reactivating

With Op inactief zetten (set to inactive) you take a product out of the shop. It also disappears from the list with which the front desk issues a class pass. With Weer activeren (activate again) you put it back.

Deactivating does not affect members: passes and memberships they already have stay valid and bookable. A payment that is on its way at Mollie at that moment is not refused either.

Deleting a product is not possible. Deactivating is the intended way.

The trial class

Per studio one trial class can be active. Members do not buy it but request it on the member site; the studio approves or declines the request (see Trial classes). Give the trial class a number of classes (usually 1) and optionally a validity in days; the validity starts on the day of approval. The price may be 0. The trial class has no price change.

A member can request a trial class at your studio only once in their life, even if you later replace the trial class product with a new one.

Memberships

A membership gives unlimited booking and is charged automatically per period through a mandate at Mollie. The member starts it themselves in the shop; the front desk cannot issue a membership. The period runs from the day of starting: a monthly membership that starts on 12 September runs through 11 October and is charged again on 12 October. If a membership starts on the 31st, the date moves to the last day of the month in shorter months.

How charges, failed direct debits, pauses and cancelling work is in Managing memberships. Before the first membership product, make sure SEPA Direct Debit is active on your Mollie profile and that a notification address is set (see Payments and the Mollie connection and Settings).
